This Privacy Policy explains how Subvibly ("we", "us") collects, uses, shares, and protects information when you use the Subvibly website, web app, and browser extension (the "Service").
1. Summary
- We collect account and learning data to run the Service.
- Much of your learning data stays on your device unless you sign in and use cloud sync.
- We use trusted processors for auth, hosting, payments, and AI features.
- We do not sell your personal information.
- We do not use third-party advertising or analytics trackers in the app today.
2. Information we collect
Account information. When you register or sign in, we receive identifiers and profile details such as your name, email address, and authentication provider IDs (for example via Clerk, Google, Apple, Facebook, or Telegram login).
Learning and app data. Depending on how you use Subvibly, this may include:
- language and display settings (native language, learning language, caption preferences);
- saved words, phrases, and dictionary marks;
- watch history (video IDs, titles, playback position);
- practice scores, progress metrics, and Coach conversation messages you send;
- promo codes you redeem and subscription status metadata.
Local device storage. If you use the Service without an account, or before sync completes, much of this data is stored in your browser's local storage or indexed databases on your device.
Content you submit to features. When you use AI or translation features, we process the text, phrases, transcript excerpts, or audio you submit so we can return a result (for example Coach chat, word lookup enrichment, or pronunciation assessment).
Payment information. If you subscribe to Pro, Stripe processes payment. We receive billing metadata such as customer ID, subscription status, plan, and trial usage, not your full card number.
Technical data. Our hosting and security systems may log IP address, browser type, request timestamps, and error diagnostics needed to operate and protect the Service. Rate-limiting may use a hashed identifier derived from your IP address.
3. How we use information
- Provide, maintain, and personalize the Service.
- Sync your learning data across devices when you are signed in.
- Process subscriptions, trials, refunds, and promotional codes.
- Generate translations, explanations, coaching replies, and pronunciation feedback.
- Enforce rate limits, prevent abuse, and keep the Service secure.
- Respond to support requests and communicate important Service changes.
- Improve features and fix bugs (using aggregated or de-identified data where possible).
4. How we share information
We do not sell personal information. We share data only:
- With service providers that help us run Subvibly (listed below), under contracts or terms that limit their use of your data;
- For legal reasons if required by law, court order, or to protect rights, safety, and security;
- In a business transfer if the Service is acquired or merged, subject to this Policy or notice to you.
5. Service providers (processors)
We currently use or may use providers such as:
- Clerk: authentication and account management (privacy policy).
- Stripe: subscription billing (privacy policy).
- Supabase: cloud storage for signed-in user sync when enabled.
- Vercel: hosting and infrastructure.
- Upstash: rate limiting for API endpoints when configured.
- DeepSeek: AI chat, lookups, and related text generation.
- OpenAI: pronunciation assessment from audio you submit.
- Google / Microsoft edge services: machine translation and text-to-speech for word playback, where used by the feature you request.
- YouTube / Google: video metadata and captions when you open a video link (you interact with YouTube under Google's terms).
Optional providers (such as DeepL) may be enabled in our infrastructure from time to time for translation quality. If enabled, text you submit for translation may be sent to them.
6. Cookies and similar technologies
We use cookies and local storage as needed to keep you signed in, remember settings, and store learning progress. Authentication cookies are primarily managed by our auth provider. You can clear browser storage at any time, but some features may stop working until you sign in again or reconfigure settings.
7. Retention
We keep information for as long as needed to provide the Service, comply with legal obligations, resolve disputes, and enforce agreements. Billing records may be kept longer where required for tax or accounting rules.
When you delete your profile in the app, we delete or de-identify associated cloud sync data within a reasonable period, except where we must retain certain records (for example payment history handled by Stripe).
8. Your choices and rights
Depending on where you live, you may have the right to:
- access a copy of your personal data;
- correct inaccurate data;
- delete your data;
- export your data;
- object to or restrict certain processing;
- withdraw consent where processing is consent-based;
- lodge a complaint with a supervisory authority (for example in the EU or UK).
You can delete your profile in Settings → Account. For other requests, email hello@subvibly.com. We may need to verify your identity before responding.
9. International transfers
Subvibly is available worldwide. Your information may be processed in countries other than where you live (including the United States and countries where our providers operate). Where required, we rely on appropriate safeguards such as standard contractual clauses or equivalent mechanisms offered by our providers.
10. Security
We use reasonable technical and organizational measures to protect information. No online service can guarantee absolute security. Please use a strong password and keep your device secure.
11. Children
The Service is not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided us personal data, contact hello@subvibly.com and we will take appropriate steps.
12. Changes
We may update this Privacy Policy from time to time. Material changes will be communicated through the Service or by other reasonable means. The "Last updated" date at the bottom shows when this version took effect.
